You should spend 20 minutes on this task.

There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Write a letter to your manager. In your letter,

  • describe the complaints that have been made
  • say why the reception area is important
  • suggest how the reception area could be improved

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Answer – 

Dear Mr Smith,

I am writing to recommend some changes to address the complaints we have been receiving about the company’s reception area.

The main complaint of visitors is that there is not enough space to accommodate all of them at once since the area is quite congested, and more often than not, they have to stand and wait for their turn. Furthermore, many have complained about the poor lighting. They said it is somewhat dark in there, and when they have to fill in any form, they usually have to go outside to fill it.

The reception is of the utmost importance because it is the first point of contact for the customers, and this is where the initial image of the company gets imprinted in their minds, so this can make or break our potential clients. If customers are happy and satisfied, only then we can increase our business and reach new heights.

As for the improvements, firstly, we need to expand our reception area. For this, we can use the adjacent room, which has been unused for a long time, and this would make enough room for customers to sit comfortably for long durations. Also, we need proper lumination in the reception area, which can be done by installing more lights and some window panes so that more sunlight can enter the area and it is properly lit.
